Frequently asked questions
Here you will find the answers to frequently asked questions.
The content of an item is seen as the content of a product. You can specify the content for a specific unit. The quantity of an item is defined by the number of products. The minimum stock is also controlled by the quantity of an item. You can find out more about the minimum quantity under How do I ensure my supplies are maintained with a minimum amount?
The easiest way to do this is to create an account with Pantrist. Then your data will be saved on your account and transferred to the new phone. Alternatively, you can create a backup and import it to the new phone. How to create a backup can be found at the following link How can I back up my data?
If you are logged in, your data is automatically backed up to a database. If you are not logged in, the data is only stored on your device and will be deleted when the app is deleted. To back up your data, you can create a JSON file via the list settings and save it to a cloud of your choice, for example. If you want to reload the exact state of the list, you can load the file again in the same place of the settings. Of course, you can also do this if you are logged in and your data is backed up via the database. Note: You can only create and load from your own lists as backup. How you can open the settings of a list can be found at the point How do I rename a list?
Yes, you can disable the ads via a premium subscription. Besides disabling advertising, the subscription has other advantages, which you can see in the following link What additional features do I have with the Premium subscription?
Recipes can be imported from another website using a URL. If the import is not successful, please contact us and send us the link. You import the recipes with the following steps:
- Expand side menu
- Click on "Recipes" in the side menu
- Click on the "+" at the bottom right
- Select "Import with a URL"
- Paste the URL into the text field and press "Import recipe"
Pantrist fits into the rest of your setup. For Home Assistant there is a dedicated integration with sensors per list, native todo lists and ready-made blueprints. The community node for n8n lets you automate routines without code and trigger workflows as soon as something changes. Via the Model Context Protocol an AI assistant such as Claude can manage your pantry, shopping list, recipes and week plan, see MCP. If you build things yourself, use the documented REST API with a bearer token. An overview of every option is available under integrations. All of them need a Pantrist account, because the connection runs through your credentials or a token. How do I sign up to Pantrist?
Unless the function is disabled, Pantrist creates regular backups of all lists used. These backups can be loaded in the event of data loss or accidental changes. To do this, the following steps must be followed:
- Open side menu
- Click on “Edit list” in the side menu
- Select "Import Backup" under "Manage Backup".
In the side menu, you will always see your currently selected list. By clicking on the list name, you can select another list. You can also see all your lists at a glance via the "Settings". There you just have to follow the link "Manage lists".
Products with different best-before dates or different storage locations are divided into product groups. Any number of products can be stored in each of these groups and an expiration date or storage location can be defined for each group. So if you have products with different best-before dates, you have to create a group for each of them.
- Open the details of the corresponding item
- Click on "Add product group"
- You can now enter the best-before dates individually for each product in your pantry. With a click on the individual products, you can now set the respective best before date.
Yes. Your shopping list and pantry are also kept locally on your device, so you can add, check off, change and delete items without a connection. As soon as you are back online, Pantrist transfers the pending changes automatically. On the home screen the sync status shows whether you are offline, how many changes are still pending and when the last sync happened, and "Sync now" starts the transfer yourself. Features that need the server, such as the recipe import, the receipt scan or looking up unknown barcodes, are not available offline. How do I synchronize my list with different devices?
Pantrist is also available as a web app. There you can log in with the same account as on your device and manage your purchases and supplies as you know them. Click here for the web app.
To manage a list with multiple people, they must first create their own account with Pantrist. You can then invite them to join your list. You can find more about this under How do I add a user to my list or share my list?
- Open the details of the corresponding item
- Click on the barcode for which you want to view the data
- Select "View data"
Logging in to Pantrist has the advantage that data is stored and cannot be lost. In addition, functions such as inviting other users to join your list are only activated after logging in.
- Expand side menu
- Click on "Login / Register" at the top of the side menu
- If no account exists yet, click on "Register now!" or on "Continue with Google" or "Continue with Facebook" and follow the corresponding steps
- If you have an account, enter the data and click on "Login"
The analysis in the side menu has two areas. The shopping analysis evaluates your purchases: an item overview of everything you have bought, price trends by item, market and content, a yearly budget overview and statistics over any period you pick. The pantry analysis looks at your current stock with quantities, expired items and the nutrient distribution. The data for the shopping analysis is created automatically when you check off items you have bought or scan receipts. What is the receipt scan and what do I use it for?
- Open the side menu and tap "Analysis"
- Under "Shopping analysis" pick the item overview, the price trends, the budget overview or the statistics
- Under "Pantry analysis" you see quantities, expired items and the nutrient distribution of your pantry
- The analysis settings in the top right also let you enable the emergency supplies analysis and set the number of people and the underlying recommendation, the German BMEL one in Germany and the WHO and WFP one elsewhere
To share your list with different devices, you need to register within Pantrist and login to both devices with the same account. More information can be found at the section How do I sign up to Pantrist?
Yes, there is an Alexa skill called "Pantrist | Mein Vorrat". It lets you ask what is on your shopping list, put new items on it, ask how much of something is left in your pantry or hear what expires next. The skill is linked to your Pantrist account, so you need to have registered first. All voice commands with examples are listed on the voice assistant page. How do I sign up to Pantrist?
- Enable the Pantrist skill in your Alexa app
- Go to "More" > "Skills & Games" and open "Your Skills"
- Pick "Pantrist | Mein Vorrat", open the settings and choose "Link Account"
- Sign in with the credentials of your Pantrist account
- Then say, for example: "Alexa, open my pantry" followed by "Put chocolate on my shopping list"
In the week plan you decide what gets cooked on which day. You can schedule any saved recipe or simply enter a name when there is no recipe behind it. If you like, the week plan wizard puts a whole week together for you, taking your dietary style and avoided allergens into account and, on request, favouring recipes that use what is already in your pantry. The ingredients of a scheduled recipe go onto the shopping list with the number of portions you need. How do I import recipes from another website?
- Tap "Recipes" in the side menu
- Open "View week plan" or let the "Week plan wizard" suggest a whole week
- Assign a recipe to a day via "Schedule", or just save the name of the dish
- Tap a scheduled recipe and choose "Add to shopping list" to take over the ingredients
- Confirm the number of portions, the ingredients then land in the selected shopping list
- "Reschedule" moves a recipe to another day, "Remove" takes it back out of the week
Items
Items can be added directly on the home page, or on the corresponding subpage (shopping list or pantry list). To add an item, you have to press the "+" button. On the shopping or pantry list, you can find the button at the bottom right. On the add page, items can be added using a barcode, by voice input or by text input only. Additionally, you can add an item via the item catalog or your history.
In the item catalog, you can store items that you buy frequently. You can then enter certain values, such as a default storage location, the usual best-before date, or a photo. When you first open the app, this catalog will be pre-populated with some items. You can delete the default items before creating your own catalog. You can find out more about this at How do I delete the item catalog?
Pantrist tries to combine identical items automatically. To do this, it searches for an item with the same name or with the same barcode when adding an item. If this is the case, the data of both items are merged into one.
To change an item, you must first open the item by clicking on it. In the item details, you can edit any data. To save, you can use the button at the bottom of the page, or click on the disk in the upper right corner.
In the overview of your item catalog, you can click on the trash can icon in the upper right corner. There you can choose if you just want to delete the catalog or if you want to restore the default catalog.
First, any number of the items can be added to the shopping list using the "Add to shopping list" button in the item details. This can also be done automatically by reducing the supply and using the minimum supply level. You can find more about the minimum amount in How do I ensure my supplies are maintained with a minimum amount?
With the receipt scan, you can scan your receipt and automatically record the products listed on it, including their prices. This saves you the hassle of manually entering each individual item. You can find the scan function in the shopping list under "Purchased Items," accessible via the bottom left corner. If possible, the scanned products will be directly assigned to the items in your shopping list—so you don't have to assign them manually. You can also link recognized products to items from your product catalog. This automatically adds new products to existing catalog data. If you only want to save the prices for long-term cost analysis, you can also add the recognized products directly to the shopping analysis—without assigning them to a purchase.
Through the change history of your list. Every entry has an "Undo": it recreates the deleted item with all its details, such as the quantity, the best before date or the storage location. If several items were removed at once, the history bundles them into a single entry and one "Undo" brings them all back together. Changes from the last 14 days are recorded, for older deletions only a backup helps. The change history is available to signed-in users. You can find more about it under Can I see who changed what in my list?
- Open the shopping list or the pantry list
- Open the three-dot menu in the top right
- Select "Change history"
- Expand the day on which the item was deleted
- Tap "Undo" on the entry for the deleted item and confirm
There are several ways to transfer items. The easiest way is to open the item and click on "Move to pantries". Another way is, if the separate list is used to manage the purchased items (see Configuration), to swipe to the right on the item in the overview. Then the item will be transferred to the list of purchased items. The list can be opened via the shopping cart in the bottom left corner. There, the item can be simply moved to the pantry list. If the purchased items list is disabled, a swipe to the right will either delete the item or move it immediately. This can also be configured.
The smart suggestions learn from your past consumption and come in two parts. Auto reduction shows you on app start what you have probably used up since your last visit, and you confirm every amount yourself before it is deducted. Buy reminders suggest items you buy regularly and that are due again, under "Suggested for you" on the shopping list. Both require an account and Premium, because the analysis runs on the server. What additional features do I have with the Premium subscription?
- Open "Smart suggestions" in the settings
- Switch on "Auto reduction" so you get the confirmation dialog on app start
- Optionally enable "Activate automatically for frequently used items" so items with a clear consumption pattern are included on their own
- Via "Show suggestions" you can see which items from your history qualify and apply them
- Switch on "Buy reminders" so due items are suggested on the shopping list
- For individual items you can also set the auto reduction directly on the item in your pantry
Items can be marked with their own tags under "Further data". You can then search for these tags on the shopping or pantry list. The options for filtering can be found directly next to the "+" button on the corresponding page.
Configuration
In the settings you decide which allergens you want to avoid, for example gluten, milk, peanuts or celery. Recipes and pantry items containing one of them are then flagged with a warning. Allergens are detected automatically from the product data, but you can add or remove them yourself on every item. Dietary styles such as vegetarian or vegan are set separately in the diet profile in the recipe settings. All information is given to the best of our knowledge and is not legally binding.
- Open "Allergens" in the settings
- Under "Avoided allergens" tap the allergens you want to avoid
- The selection is stored in your current list and therefore applies to everyone using that list. Without a selected list it stays on this device only
- To correct the allergens of a single item, open the item and tap the allergens in the "Contains" section
The categories are always managed per list. To customize them, you have to navigate to the settings of the list and click on "Manage categories". How you can open the settings of a list can be found at the point How do I rename a list?

Pantry management
You can see your best before date on the Pantrist homepage. There you will always see at the top the item that will expire next or has already expired.
Pantrist can remind you about the best before date with a notification: 30 days ahead, 7 days ahead and on the expiry day itself. You decide which of these reminders you get and at what time they arrive. On top of that you can be notified about changes to your lists, for example when someone adds, changes or deletes items. How is the best before date (BBD) monitored?
- Open "Notifications" in the settings
- Under "Best before date notification" choose whether you want a reminder 30 days ahead, 7 days ahead or on the expiry day
- Set the time of day the reminder should arrive under "Notification time"
- Optionally switch on the notifications for added, changed and deleted items as well as for updates by the users of your lists
- Make sure notifications for Pantrist are also allowed in your device's system settings
Stocktaking lets you confirm at a glance what is actually still in your pantry. Each product shows up as its own row with a checkbox. Anything that stays unchecked when you finish is removed from your pantry. Pantrist creates an automatic backup of your list beforehand so you can roll back if needed.
- Open the pantry list and start a stocktaking via the matching button
- Choose whether you want to check your entire pantry or only a single storage location
- Tick every product you still have. Leave products unchecked if you have used them up or they are no longer there
- Optional: tap the calendar icon on a row to correct the best before date
- Optional: if you keep more than one storage location, the location icon lets you move a product to a different location
- Tap "Done" at the bottom. The overview shows how many products will be confirmed and how many will be removed
- Tap "Confirm" so the changes are applied. If you cancel here and leave the page, every checkmark is lost and you have to start over
The minimum amount is set for each item itself. This ensures that the item is automatically added to the shopping list when the available quantity falls below the set value. Thus, it can't be forgotten to refill the stocks.
- Navigate to the "Pantry List"
- Click on the item that should be permanently in your pantry
- Click on "Manage minimum amount" under the section "Products"
- Select the quantity in which the item should always be available
- Click on the "Disk" in the upper right corner
NFC tags let you reduce your stock with a single tap. On Android that happens straight away, on the iPhone you confirm the iOS notification once, or you set up a Shortcuts automation. You link an empty NFC tag to a pantry item, define how much the stock goes down per tap and stick the tag somewhere handy, for example on the pantry shelf or straight onto the jar. NFC tags are stored with your account, so you need to be signed in. Writing and tapping tags needs a smartphone with an NFC chip, it does not work in the browser. How do I ensure my supplies are maintained with a minimum amount?
- Open "NFC tags" in the settings
- Tap the plus button and pick the pantry item that should be taken out
- Set the amount by which the stock goes down on every tap
- Tap "Write" and hold your phone against the empty NFC tag until the confirmation appears
- Stick the written tag where you need it, for example on the pantry shelf or on the storage jar
- Once you have used something up, briefly tap the tag with your phone. Pantrist reduces the stock automatically and shows a message with the remaining amount
- In the tag list you can rewrite a tag at any time via the radio icon or remove it via the trash icon
The shape does not matter: round stickers, long or rectangular tags, cards and key fobs all work just as well. Simply pick whatever fits your storage jar or your shelf. Only the chip and the surface really count. How do I take items out of my pantry with NFC tags?
- Chip: NTAG213, NTAG215 or NTAG216. Pantrist only writes a short link onto the tag, so even the smallest of these has plenty of room. Mifare Classic tags do not work with every phone, so better leave those on the shelf.
- The tag has to be blank and writable. Tags sold as "locked" or "read-only" cannot be used.
- Surface: on metal, so a can, the fridge door or a metal shelf, you need "on-metal" tags with a ferrite layer. On glass, plastic, wood or cardboard any tag works.
- For damp corners or the freezer, pick plastic tags, paper stickers get soggy there.
On the iPhone, iOS does not hand a scan straight to Pantrist. It shows a notification first, and only your tap on it opens the app and depletes the item. That happens even when Pantrist is already open. An automation in the Shortcuts app removes that step, after which tapping the tag is all it takes. You set this up once per tag. The tag has to exist in Pantrist and you have to be signed in, but it does not have to be written for this route. On Android you do not need any of this, a scan goes straight into the app. How do I take items out of my pantry with NFC tags?
- Open the Shortcuts app and switch to the Automation tab
- Tap the plus and pick NFC from the list
- Tap Scan, hold your iPhone against the tag and give the automation a name, for example "Milk pantry shelf"
- Search for Pantrist as the action and pick "Deplete NFC tag"
- For the Tag parameter, choose the matching entry. The list shows the article names of your tags
- Turn Run Immediately on and Notify When Run off, then save
- If Pantrist does not show up in the action search, open the app once and try again. Depending on your iOS version the switches sit in slightly different places
Yes, as long as the scan goes through the app. With no connection Pantrist depletes the item locally and sends the change once you are back online. The message after the tap tells you so. This does need the device to have loaded your NFC tags at least once while online, otherwise it does not know which article the tag belongs to. The Shortcuts automation on the iPhone runs without the app and cannot queue anything, so with no connection nothing happens there. If that matters more to you than saving the extra step, keep using the notification route on the iPhone. Does Pantrist work without an internet connection?
Premium subscription
Sometimes it can happen that the subscription is not correctly linked to your account. To solve the problem, you can click on the "Restore purchase" button at the bottom of the premium page. If this does not solve your problem, please contact us via the contact form or by email!
To cancel your subscription, you need to do it yourself in your Play Store or App Store. To be redirected directly to the subscription, you can click on "Manage Subscription" at the page where you made the subscription. You should be redirected directly to your store. Also, we would really appreciate it if you let us know what you missed about Pantrist. Thank you very much!
The Premium subscription is used to support Pantrist and unlocks some features which cost us more than the usual features. The following features are included
- No advertisement
- More than two lists at the same time
- Custom photos for items and supermarkets
Your subscription is always related to your account at Pantrist. That means, if you have multiple devices with the same account, the normal single license is sufficient. If you also want to give Premium to your family via your own account, you can do this via the license for two or five users.
You can find the page to buy the premium version directly in the side menu.
Pantrist causes monthly costs for us, which have to be covered by the revenues. With a one-time payment, there is a risk that these costs cannot be covered any further. The premium subscription is also intended more as a way to support the Pantrist project. We try to make as few functions as possible dependent on it, and only do so for functions that cause relatively high costs (such as uploading your own images).
List management
After registration and login in on multiple devices, you may encounter this error. When logging in on a device, you will be asked if you want the list stored locally on the device to be associated with your account. If this is affirmed, it can happen that on both devices the new (probably empty) list is selected as default list. The list must then be changed back to the old list, or the new (empty) list must be deleted. This can be done via the list element in the side menu under the profile.
Yes, every list has a change history. Grouped by day, it shows which items were added, changed or deleted and who did it. Changes from the last 14 days are recorded. You can undo an individual change, which restores the previous state of the item and is noted as a new entry in the history. The change history is available to signed-in users. How do I add a user to my list or share my list?
- Open the shopping list or the pantry list
- Open the three-dot menu in the top right
- Select "Change history"
- Expand a day to see all changes made on it
- To undo a change, tap "Undo" on the entry and confirm
- In the side menu, click on "Edit list" next under the list name
- Click in the upper field and adjust the name
- Click on the "Disk" in the upper right corner
The function to invite users to your list is only activated after a registration. Please note that Firefox disallows opening links in the app by default (see Firefox Links). You can find more about the login in the section How do I sign up to Pantrist?
- In the side menu, click on "Edit list" next under the list name
- Under the item "Authorized users" click on "Add user to list"
- Select permissions for the user to be invited (a "User" can use the list normally, an "Admin" can additionally manage the users)
- Click on "Invite user" and share the text through any platform
- The invited user must now click on the link and open the app
- A popup opens where the synchronization must be confirmed
